Store private documents on iPhone: scan, organize and protect copies
A practical workflow for personal PDFs, ID scans and receipts: choose a destination, verify readability and recovery, then control exported copies.
The short answer
Choose where a document will live before scanning it. A scan in Photos, a PDF in Files, an attachment in Notes and an imported vault copy can have different access and cloud settings. Giving a folder an inconspicuous name is organization, not an additional lock. For documents requiring a separate secret, consider a vault after checking its recovery and export process.
This guide concerns personal working copies. An app cannot decide whether a scan replaces an official original or meets an employer’s recordkeeping requirements. Keep the authoritative document where it belongs.
Start with a small document inventory
List the document categories you actually need on the phone: travel copies, receipts, identity records or personal correspondence. For each, decide why you need it, how long you need it and who should be able to open it. Avoid collecting sensitive copies simply because storage is available.
A receipt for a warranty and an identity document do not necessarily need the same retention period. This simple distinction helps prevent a private folder becoming an unreviewed archive of everything you have ever scanned.
Scan with the destination in mind
Apple provides document scanning in Notes and Files. In Files, open the intended location, use More, then Scan Documents, capture the pages and save. In Notes, use the attachment menu and Scan Documents. Check the chosen folder or note account instead of assuming a scan stays only on the phone.
Before storing it, inspect every page. Check the corners, reverse sides, page order and small print. A crisp thumbnail can hide an unreadable number. Start with a non-sensitive sample when learning a new app, and keep the paper original until the digital copy serves its intended purpose.
Decide what protection you need
A folder is useful for finding files. An account controls access across connected services. A separate vault adds a different access boundary for its imported copies. These layers can coexist; none automatically deletes the others.
Kofrix can import files and organize them into albums inside a vault. Its separate pattern and encrypted storage serve the case where you want a document kept apart from ordinary phone browsing. See how its encryption works for the implementation and limitations. Do not infer compliance certification or an independent security audit from the use of a standard cipher.
Test reading, export and recovery
- Import a disposable sample of the format you intend to store.
- Lock and reopen the vault, then check that the document is readable.
- Try exporting the sample to a protected destination and opening it there.
- Establish how you would recover the real documents after losing the phone.
The current Kofrix implementation has an iPhone iCloud backup option, no Android vault backup and no live device sync. Its recovery phrase helps with keys; it does not replace the data. Maintain an independently recoverable copy of important records.
Name and organize without making new disclosures
Use filenames that help you distinguish versions and dates. Avoid putting a full identity number or other unnecessary sensitive detail in a filename that might later appear in an email, share sheet or export. Keep related pages together and mark outdated versions clearly before you accidentally send one.
For example, a travel collection might contain a current document copy and a reservation, while old expired copies belong in a separate retention review. That is an organization suggestion, not advice to destroy records you are required to retain.
Sharing creates another copy to manage
When you export or send a document, the recipient and destination now control a copy outside the vault. Check the file, recipient and attachments before sending; do not treat a vault lock as a way to revoke a download. Review temporary exports afterwards, taking care not to delete your last recoverable original.
Use the photo and file privacy checklist for a repeatable review. For a phone replacement, follow the migration checks before removing the old installation.
Your checklist to keep
- I know the scan’s folder or account.
- Every page is readable and in order.
- I have tested reopening and exporting a sample.
- Important originals remain independently recoverable.
